This statement sets out how we will process any personal data we collect from you or that you provide to us. We will collect only personal data that we need.
Our data controller is our Hon. Treasurer, of 4 The Village Barn, Church Hill, Brighton BN1 8YU.
1. Data we collect
The data we collect from you is provided by you when, for example, you apply to join The Brighton Society and pay or renew the annual subscription. You may also give us personal data by completing forms on our website or by corresponding with us by mail, telephone, e-mail or otherwise. This includes data you provide when you enquire about or join the Society, register for an event that we are organising or hosting, volunteer with us or make a donation.
The data is required for the administration of the Society, to provide you with information about the work and interests of the Society and its other services and in connection with specific activities such as placing an order, donations, volunteering, attending functions or conducting research, etc. We will process your data only as is necessary to establish and maintain your membership and support of the Society, and to provide or administer its work and activities for those who are members or who have contact with us.
The data you give us may include your name, address, title, gender, e-mail address and telephone number, areas of interests, financial and credit card information.
2. What we do with your data
We use data held about you in the following ways:
to carry out our obligations to you and to provide you with the information, products and services to which you are entitled as a member of the Society;
to process our applications for Gift Aid refunds and reclaim appropriate tax reliefs
to use for membership and recruitment purposes and to administer your membership
to inform you of our work, and campaigns or projects initiated by other organisations with which we have a relationship or which we believe may interest you
We will contact you by post. We may also contact you by email, telephone or social media where you have given permission.
3. Disclosure of your data
We will not sell or disclose your data to third parties unless we are under a duty to do so or are legally permitted, by you or otherwise, to disclose or share it. We will never use it for marketing purposes.
4. Where we store your personal data, and for how long
All your personal data, however acquired, is stored securely in the UK by a trustee or trustees of the Society. All trustees are listed on our website.
We will do our best to protect your personal data, but we cannot guarantee its security as communications and transfers via the internet are not completely secure.
We will keep your data for as long as you are a member of the Society, and for a maximum of two years after the expiry of your last subscription period, for membership administration purposes. Information about non-members, however acquired, will be deleted not more than six months after its acquisition.
5. Your rights
You have the right to access data held about you, and to have it amended or deleted. Deletion would require your resignation from the Society.
